Responsibilities
- Public Assistance: Greet and assist visitors, citizens, and employees with inquiries regarding city services, policies, and procedures in a professional and courteous manner.
- Record Management: Maintain accurate and up-to-date records of city documents, ordinances, resolutions, and meeting minutes using electronic filing systems.
- Data Entry: Perform high-volume data entry tasks, ensuring accuracy and confidentiality of sensitive information.
- Communication: Answer incoming calls, screen inquiries, and direct calls to the appropriate department or personnel.
- Office Support: Prepare correspondence, reports, and memos; manage inventory of office supplies and equipment.
- Meeting Coordination: Assist in the coordination of city council meetings, including agenda preparation and minute-taking.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree in Business Administration, Public Administration, or a related field is preferred.
- Experience: Minimum of 2 years of experience in an administrative support, clerical, or customer service role is highly desirable.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with government databases or records management systems.
- Communication: Excellent verbal and written communication skills with the ability to interact effectively with diverse populations.
- Organization: Strong attention to detail and the ability to multitask in a fast-paced office environment.
- Integrity: Must possess a valid driver’s license and pass a background check.
