Responsibilities
- Record Management: Attend and record minutes for City Council meetings, Board meetings, and special commissions, ensuring accurate and timely distribution of agendas and minutes.
- Public Records: Manage the Freedom of Information Act (FOIA) requests, ensuring compliance with state laws and providing public access to official documents efficiently.
- Archival Oversight: Oversee the maintenance, organization, and digitization of historical and current city records, ensuring data security and easy retrieval.
- Correspondence: Serve as the primary liaison for incoming and outgoing official correspondence, ensuring proper routing and documentation.
- Notary Services: Provide official notary public services to the public and city departments as required.
- Administrative Support: Assist the City Manager and department heads with special projects, reports, and administrative functions as needed.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree in Public Administration, Business Management, or Paralegal Studies is preferred.
- Experience: Minimum of 3-5 years of experience in a clerical, administrative, or government office setting is strongly preferred.
- Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with document management systems or CRM software.
- Attributes: Strong attention to detail, excellent organizational skills, and the ability to maintain strict confidentiality.
- Communication: Excellent verbal and written communication skills with the ability to interact professionally with the public and elected officials.
- Knowledge: Familiarity with Texas Government Code and open records laws is a plus.
