Responsibilities
- Records Management: Oversee the acquisition, storage, retrieval, and disposal of official city documents, ensuring strict adherence to archival standards and legal compliance.
- Meeting Administration: Coordinate and facilitate all city council and commission meetings, including agenda preparation, minute-taking, and maintaining official minutes.
- Public Information: Serve as the primary liaison for public records requests, ensuring timely and accurate responses in accordance with the Texas Public Information Act.
- Administrative Support: Manage incoming correspondence, direct phone inquiries, and assist department heads with administrative functions and special projects.
- Compliance & Reporting: Ensure all city clerk functions remain in compliance with state statutes, municipal codes, and organizational policies.
Qualifications
- Education: High school diploma or GED required; Associate’s degree or Bachelor’s degree in Public Administration, Business, or Paralegal Studies preferred.
- Experience: Minimum of 3-5 years of experience in municipal administration, office management, or a related field.
- Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with document management software (e.g., Adobe Acrobat Pro, Records Express).
- Attributes: Excellent verbal and written communication skills, exceptional attention to detail, and the ability to maintain confidentiality.
- Certifications: Knowledge of the Texas Government Code and public records laws is a significant plus.
