In this pivotal role, you will be the backbone of our office operations, ensuring seamless communication between agency leadership and external stakeholders while maintaining strict adherence to federal compliance standards.
Responsibilities
- Manage the daily workflow of the office, including reception, mail processing, and inter-departmental coordination.
- Prepare, edit, and distribute complex correspondence, reports, and briefing materials for senior leadership.
- Maintain accurate and confidential filing systems in compliance with the National Archives and Records Administration (NARA) standards.
- Coordinate travel arrangements and process travel vouchers for federal employees in accordance with the Federal Travel Regulation (FTR).
- Assist in the preparation of budget submissions, purchase orders, and financial tracking.
- Facilitate interagency communications and schedule high-level meetings.
- Monitor office supply inventory and submit requisitions for procurement.
Qualifications
- United States Citizenship is mandatory.
- High School Diploma or GED required; Associate’s degree or Bachelor’s degree preferred.
- Minimum of 3 years of progressively responsible administrative experience, preferably within a federal or government setting.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and experience with federal case management systems (e.g., Excel-based databases).
- Strong verbal and written communication skills with the ability to handle sensitive information with discretion.
- Ability to obtain and maintain a background investigation and favorable Public Trust clearance.
- Knowledge of federal regulations regarding records management and procurement is highly desirable.
