Responsibilities
- Manage and preserve all official city records, ordinances, and resolutions with meticulous attention to legal compliance
- Oversee municipal election processes including ballot preparation, polling place coordination, and result certification
- Respond to public records requests (PRA) within statutory deadlines while ensuring data privacy
- Administer oaths of office for public officials and maintain notary services for city documents
- Coordinate city council meetings including agenda preparation, minute-taking, and public hearing management
- Implement records retention policies and digitize archival materials for enhanced accessibility
- Train staff on records management protocols and legislative compliance procedures
Qualifications
- Bachelor's degree in Public Administration, Political Science, or related field (Master's preferred)
- Minimum 5 years of municipal government experience with records management focus
- California Notary Public certification and familiarity with Brown Act requirements
- Expertise in records management systems (e.g., Laserfiche, Documentum) and PRA compliance
- Proven experience managing election processes or public information programs
- Advanced knowledge of California Government Code and municipal law
- Exceptional written communication skills for drafting official documents and reports
- Ability to obtain and maintain a security clearance for handling sensitive municipal data
