Responsibilities
- Manage and maintain the City’s official records, including resolutions, ordinances, minutes, and contracts, ensuring strict adherence to legal and archival standards.
- Prepare and distribute meeting agendas, supporting materials, and minutes for City Council and Board meetings, ensuring accuracy and timely distribution.
- Oversee the administration of the Freedom of Information Act (FOIA) requests, ensuring timely and complete responses to the public.
- Act as the Chief Clerk of the City Council, managing the legislative process from introduction to adoption of measures.
- Coordinate logistics for official ceremonies, public hearings, and community events.
- Assist in the development and implementation of clerical policies and procedures to improve departmental efficiency.
- Supervise and train junior clerical staff and interns on record-keeping standards and office protocols.
Qualifications
- Bachelor’s degree in Public Administration, Political Science, Business Administration, or a related field (or equivalent professional experience).
- Minimum of 5 years of experience in municipal government, corporate legal administration, or a related clerical role.
- Strong knowledge of Robert’s Rules of Order and local government procedures.
- Excellent written and verbal communication skills with the ability to translate complex legal and technical information clearly.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience with document management systems (e.g., SharePoint, Confluence).
- Unwavering attention to detail and the ability to manage multiple deadlines in a fast-paced environment.
- High ethical standards and the ability to handle sensitive information with discretion.
