Responsibilities
- Record Management: Oversee the creation, maintenance, and archiving of all official city documents, including ordinances, resolutions, and meeting minutes.
- Meeting Administration: Prepare agendas, take accurate minutes, and distribute records for City Council and committee meetings.
- Public Information: Serve as the primary point of contact for the public regarding open records requests and general inquiries.
- Legal Compliance: Ensure all filing systems comply with state and federal open records laws (FOIA).
- Vendor Coordination: Manage contracts and correspondence with external vendors and legal counsel.
Qualifications
- Education: High School Diploma or GED required; Associate's degree in Public Administration, Business, or a related field is preferred.
- Experience: Minimum of 3-5 years of experience in a municipal office, government administration, or a related clerical role.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with government document management software (e.g., ERP systems) is a plus.
- Communication: Excellent verbal and written communication skills with the ability to interact professionally with the public and city officials.
- Attention to Detail: Demonstrated ability to maintain accurate records and meet strict deadlines.
