Your Role
As an Administrative Assistant, you will be the backbone of our office operations, ensuring smooth communication and efficient workflow. You will interact with citizens, vendors, and internal departments, making you a key point of contact for our organization.
Responsibilities
- Office Management: Oversee the daily operations of the front office, including greeting visitors, answering multi-line phones, and managing incoming and outgoing mail.
- Record Keeping: Maintain accurate and up-to-date electronic and physical records, filing systems, and databases in compliance with city policies.
- Communication: Draft, proofread, and distribute internal memos, emails, and correspondence to ensure clear and professional communication across all departments.
- Event Coordination: Assist in scheduling meetings, booking conference rooms, and coordinating logistics for city events and public hearings.
- Data Entry: Perform high-volume data entry tasks with a focus on accuracy and timely submission of reports and forms.
- Vendor Liaison: Handle vendor inquiries, process invoices, and maintain relationships with external service providers.
Qualifications
- Education: High school diploma or GED equivalent required; Associate’s degree or certification in Office Administration is preferred.
- Experience: Minimum of 1-2 years of administrative experience in a government, corporate, or non-profit setting.
- Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and ability to learn new software quickly.
- Communication: Excellent verbal and written communication skills with the ability to interact professionally with diverse populations.
- Organization: Strong organizational skills with the ability to prioritize tasks and manage time effectively in a fast-paced environment.
