Responsibilities
- Manage high-volume correspondence, including email, phone inquiries, and visitor interactions, ensuring timely and professional responses to all stakeholders.
- Process personnel actions, maintain accurate employee records in state-of-the-art database systems, and ensure strict compliance with all City policies and regulations.
- Coordinate departmental meetings, prepare detailed agendas, and accurately distribute minutes to ensure alignment across the team.
- Assist in the preparation of complex reports, statistical data, and presentations for executive management review.
- Perform high-accuracy data entry tasks and audit records to identify and resolve discrepancies immediately.
- Act as a liaison between departmental staff and various city divisions to facilitate smooth operational workflows.
Qualifications
- High school diploma or equivalent (GED) required; Associate’s degree in Business Administration, Public Administration, or related field is preferred.
- Minimum of two (2) years of progressively responsible experience in an administrative or clerical support role within a government or large organizational setting.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and ability to learn new database systems quickly.
- Strong verbal and written communication skills with the ability to interact professionally with a diverse population and senior officials.
- Ability to maintain strict confidentiality and handle sensitive information with the highest level of discretion.
- Proven ability to manage multiple priorities and meet deadlines in a fast-paced environment.
