Responsibilities
- Manage and preserve all official city records, ordinances, and meeting minutes with meticulous attention to detail
- Oversee municipal elections, voter registration, and ballot certification processes
- Provide administrative support to the City Council, including agenda preparation and document distribution
- Ensure compliance with state and federal record-keeping regulations and open meeting laws
- Supervise records management staff and implement efficient document retention systems
- Act as the primary public information officer for municipal records and procedures
- Coordinate with other city departments to streamline administrative workflows
Qualifications
- Bachelor's degree in Public Administration, Business, or related field (Master's preferred)
- Minimum 5 years of municipal government experience with 2+ years in records management
- Proficiency with records management software (e.g., Laserfiche, DocuWare)
- Deep knowledge of Illinois municipal codes and election procedures
- Excellent written and verbal communication skills with ability to translate complex information
- Valid Illinois driver's license and clean driving record
- Professional certification as Municipal Clerk (MMC) highly desirable
