Responsibilities
- Oversee the daily operations of the City Clerk's Office, ensuring the accuracy, preservation, and accessibility of all official municipal records and archives.
- Prepare and distribute agendas, minutes, and resolutions for City Council meetings and board of adjustments.
- Manage the administration of municipal elections, including voter registration, candidate filings, and polling place coordination.
- Serve as the primary point of contact for Freedom of Information Act (FOIA) requests and public inquiries regarding city ordinances and codes.
- Supervise and mentor a team of administrative support staff and clerical workers.
- Ensure compliance with state and local statutes regarding open meetings and public records retention.
- Coordinate special events and official ceremonies hosted by the City Council.
Qualifications
- High school diploma or GED equivalent; an Associate’s or Bachelor’s degree in Public Administration, Business, or Political Science is strongly preferred.
- A minimum of 3-5 years of experience in a municipal, government, or high-level administrative clerical role is required.
- Proven experience in managing public records, meeting minutes, and document retention schedules.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience with document management software (e.g., Laserfiche, SharePoint).
- Excellent written and verbal communication skills, with the ability to draft clear and concise legal or administrative documents.
- Strong attention to detail and the ability to manage multiple priorities in a fast-paced environment.
- Knowledge of Missouri state laws regarding open meetings and public records is a plus.
