Responsibilities
- Receive and direct visitors and phone calls to appropriate departments with courtesy and efficiency.
- Prepare, proofread, and distribute official correspondence, agendas, and minutes for City Council meetings.
- Maintain and update complex filing systems, both digital and physical, ensuring strict confidentiality and compliance.
- Process incoming applications, permits, and public records requests in accordance with state and local regulations.
- Assist in the coordination of city events, including registration, logistics, and vendor management.
- Perform data entry and generate reports using various government database systems.
- Collaborate with cross-functional teams to ensure high-quality customer service for all residents and businesses.
Qualifications
- High school diploma or GED equivalent required; Associate’s degree in Public Administration, Business, or a related field is preferred.
- Minimum of 2 years of experience in an administrative or clerical role, preferably within a government or municipal setting.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and government-specific software.
- Excellent verbal and written communication skills with the ability to interact professionally with the public.
- Strong organizational skills with the ability to prioritize tasks and manage multiple deadlines effectively.
- Ability to obtain a government security clearance upon employment.
- Must be a resident of the State of California.
