Responsibilities
- Oversee the management, maintenance, and archiving of all official city records, meeting minutes, and ordinances.
- Prepare, edit, and publish meeting agendas and minutes for the City Commission and various advisory boards.
- Manage public inquiries via phone, email, and in-person, providing accurate information regarding permits, licenses, and codes.
- Coordinate with department heads to ensure timely submission of reports and compliance with statutory deadlines.
- Maintain the City’s database systems and ensure data integrity and confidentiality.
- Assist in the preparation of official correspondence and legal documents.
- Supervise and train junior clerical staff as needed.
Qualifications
- High school diploma or GED required; Associate’s degree or Bachelor’s degree in Public Administration, Business, or a related field is preferred.
- Minimum of 3-5 years of experience in administrative or clerical roles, preferably within a government or public sector setting.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and government record-keeping software.
- Strong written and verbal communication skills with the ability to interact professionally with diverse populations.
- Excellent organizational skills with a keen attention to detail.
- Ability to maintain strict confidentiality regarding sensitive information.
