Responsibilities

  • Serve as the Recording Secretary for the City Council and various boards and commissions, ensuring accurate minutes and meeting documentation.
  • Manage the official city records retention schedule, ensuring the archiving and disposal of documents in compliance with state and federal regulations.
  • Oversee the Public Records Officer duties, processing and responding to information requests efficiently and transparently.
  • Coordinate logistics for all council meetings, including agenda preparation, briefing materials, and venue coordination.
  • Ensure the proper dissemination of official publications, proclamations, and city ordinances to the public and media.
  • Act as the primary liaison between the City Manager’s office and council members regarding administrative matters.
  • Maintain the City Charter and bylaws, ensuring all operational procedures align with legal requirements.

Qualifications

  • High school diploma or GED equivalent; Associate’s degree in Public Administration, Political Science, or a related field is strongly preferred.
  • Minimum of three (3) years of progressively responsible experience in municipal government administration, office management, or records management.
  • Proven experience with document management systems and proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Working knowledge of the Washington State Public Records Act (RCW 42.56) and open government laws.
  • Exceptional attention to detail and high standards of accuracy in recording and maintaining information.
  • Strong interpersonal and communication skills, with the ability to interact professionally with elected officials, staff, and the public.
  • Ability to work independently and prioritize tasks in a fast-paced, high-volume environment.
