Responsibilities

  • Manage and maintain the official records of the City, including ordinances, resolutions, contracts, and minutes of council meetings.
  • Prepare and distribute meeting agendas, packets, and supporting documentation for the City Council and various boards and commissions.
  • Process Freedom of Information Act (FOIA) requests and public information inquiries in compliance with state and federal laws.
  • Oversee the Municipal Court filing system and assist with administrative court functions as needed.
  • Act as the primary liaison for the public, answering inquiries regarding city procedures, policies, and services.
  • Ensure all correspondence and official documents are filed accurately and in accordance with retention schedules.
  • Assist in the coordination of civic events and community outreach programs.

Qualifications

  • High school diploma or GED required; Associate’s degree in Public Administration, Business, or related field is preferred.
  • Minimum of 3 years of experience in office administration, records management, or a related municipal role.
  • Working knowledge of Texas Open Meetings Act and Open Records Act is highly desirable.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and experience with records management software.
  • Excellent verbal and written communication skills with the ability to interact effectively with diverse community members.
  • Strong attention to detail and the ability to maintain confidentiality of sensitive information.
  • Ability to work independently and manage multiple priorities in a fast-paced environment.
