Job Summary
The City Clerk is responsible for the efficient and accurate management of all city records, meeting minutes, and official correspondence. This role requires a high level of integrity, attention to detail, and the ability to communicate effectively with council members, staff, and the public.
Responsibilities
- Oversee the daily operations of the City Clerk's Office, ensuring efficient management of public records, documents, and archives.
- Prepare, maintain, and file official city ordinances, resolutions, and minutes of city council meetings in compliance with retention schedules.
- Act as the primary point of contact for the public, answering inquiries regarding city policies, procedures, and access to public records under the Tennessee Public Records Act.
- Coordinate logistics for city council meetings, including agenda preparation, meeting minutes transcription, and distribution of materials to stakeholders.
- Manage the issuance, tracking, and archiving of business licenses, permits, and official certificates.
- Assist in the development and implementation of digital records management systems to improve accessibility and data security.
- Ensure strict confidentiality of sensitive city and employee information at all times.
Qualifications
- High school diploma or GED required; Associate's degree in Public Administration, Business, or Paralegal Studies is preferred.
- Minimum of 2 years of experience in an administrative, records management, or clerical role, preferably within a government or corporate environment.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with records management software (e.g., Accela, MyGov) is highly desirable.
- Strong attention to detail with exceptional organizational and time-management skills.
- Excellent verbal and written communication abilities, with the ability to interact professionally with diverse stakeholders.
- Ability to maintain strict confidentiality regarding sensitive public and employee information.
- Familiarity with the legislative process and municipal government operations is preferred.
