Responsibilities
- Manage Official Records: Oversee the maintenance, organization, and retrieval of vital records, deeds, and historical documents.
- Public Assistance: Serve as the primary point of contact for visitors, answering inquiries and providing guidance on record requests.
- Data Management: Utilize specialized database systems to input, verify, and archive data with 100% accuracy.
- Administrative Support: Prepare correspondence, process applications, and handle confidential materials in compliance with city regulations.
- Compliance & Access: Ensure all records are stored in accordance with state and federal privacy laws while facilitating public access.
- Process Improvement: Assist in streamlining filing systems and office procedures to enhance operational efficiency.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree in Records Management or Public Administration is a plus.
- Experience: Minimum of 2 years of experience in an administrative or records management role.
- Technical Skills: Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and experience with Records Management Systems (RMS).
- Attention to Detail: Proven ability to manage large volumes of data with high precision.
- Communication: Excellent verbal and written communication skills with the ability to interact professionally with the public and staff.
- Integrity: Strong ethical standards and the ability to handle sensitive information with discretion.
