Responsibilities
- Record Management: Maintain and archive all city records, meeting minutes, ordinances, and resolutions in compliance with state and federal laws.
- Public Relations: Serve as the primary liaison between the City Council, Mayor, and citizens, handling inquiries professionally and efficiently.
- Election Administration: Oversee local election processes, including voter registration, ballot preparation, and polling place management.
- Permitting & Licensing: Process applications for business licenses, zoning permits, and other municipal approvals with accuracy and speed.
- Meeting Coordination: Schedule and prepare agendas for City Council meetings, ensuring all documentation is distributed in a timely manner.
- Financial Reporting: Assist in the preparation of monthly and annual financial reports and budgets as required by the finance department.
- Compliance: Ensure all municipal operations adhere to open meeting laws and public records requests.
Qualifications
- Education: High school diploma or GED required; Associate’s degree in Public Administration, Business, or Political Science is preferred.
- Experience: Minimum of 3-5 years of experience in administrative support, government operations, or records management.
- Technical Skills: Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and experience with records management software or government databases.
- Communication: Excellent verbal and written communication skills, with the ability to interact effectively with diverse populations.
- Attention to Detail: Ability to manage complex data and maintain high standards of accuracy in all documentation.
- Integrity: Demonstrated high level of professional ethics and discretion when handling sensitive information.
