Responsibilities
- Administrative Support: Perform complex clerical duties including data entry, word processing, and filing of official documents and records.
- Public Assistance: Greet visitors and answer incoming calls with a professional demeanor, directing inquiries to the appropriate departments.
- Record Management: Maintain accurate and up-to-date departmental files and databases, ensuring compliance with city protocols.
- Meeting Coordination: Assist in scheduling meetings, preparing agendas, and taking minutes for various municipal boards and commissions.
- Document Processing: Process applications, permits, and other official paperwork with a high degree of accuracy and confidentiality.
- Inventory Control: Monitor and order office supplies and equipment as needed to ensure smooth daily operations.
Qualifications
- Education: High school diploma or GED required; Associate’s degree or equivalent experience in a municipal office setting is preferred.
- Experience: Minimum of 1-2 years of general clerical or administrative experience required.
- Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with database management systems.
- Communication: Excellent verbal and written communication skills with the ability to interact effectively with diverse populations.
- Organization: Strong organizational skills with the ability to prioritize tasks and meet strict deadlines in a fast-paced environment.
- License: Valid California Driver’s License and access to a reliable vehicle is required for this position.
