Responsibilities
- Manage and maintain accurate digital and physical records for city departments, ensuring compliance with privacy regulations and retention policies.
- Interact with the public and city officials via phone, email, and in-person, providing exceptional customer service and resolving inquiries efficiently.
- Process incoming mail, faxes, and electronic documents, prioritizing urgent matters and distributing them to the appropriate departments.
- Assist in the preparation of meeting packets, agendas, and official correspondence for city council and committee meetings.
- Perform data entry and reporting duties using various city databases and computer systems.
- Coordinate the scheduling of appointments and manage the front desk operations during peak hours.
Qualifications
- High school diploma or GED required; Associate’s degree or higher in Business Administration or Public Administration is preferred.
- Minimum of 2 years of experience in administrative support, clerical work, or a related field within a government or corporate setting.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn new software systems quickly.
- Strong written and verbal communication skills with a professional demeanor.
- Excellent organizational skills and the ability to multitask in a high-volume environment.
- Knowledge of local, state, or federal government procedures is a plus.
