Responsibilities
- Record Management: Maintain accurate and organized filing systems for both physical and electronic documents to ensure quick retrieval of information.
- Front Desk Operations: Greet visitors and clients warmly, answer multi-line telephones professionally, and direct inquiries to the appropriate department.
- Communication Support: Draft, proofread, and distribute internal memos, emails, and correspondence under the supervision of senior staff.
- Data Entry: Perform routine data entry tasks using government databases and Microsoft Office Suite, ensuring high levels of accuracy.
- Office Coordination: Assist in preparing meeting materials, scheduling appointments, and managing office supplies and inventory.
- Customer Service: Resolve basic inquiries from the public with patience and a focus on positive outcomes.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree or Bachelor’s degree in a related field is a plus but not mandatory.
- Experience: No prior government or professional work experience is required. We value attitude and aptitude over specific history.
- Skills: Basic proficiency in Microsoft Word, Excel, and Outlook is preferred; willingness to receive training is required.
- Communication: Strong verbal and written communication skills with the ability to follow instructions precisely.
- Integrity: Ability to maintain strict confidentiality regarding sensitive city information.
- Requirements: Must be able to pass a criminal background check and drug screen.
