Responsibilities
- Document Management: Process, file, and organize high volumes of official documents and correspondence with strict attention to accuracy and confidentiality.
- Customer Service: Serve as the first point of contact for visitors and callers at the front desk, providing professional information and directing inquiries to the appropriate departments.
- Data Entry: Maintain and update digital databases and paper records, ensuring all government data is current and accessible for staff.
- Meeting Support: Assist in scheduling meetings, preparing agendas, and taking minutes for various city board and committee meetings.
- Vendor Coordination: Process invoices and purchase orders for department supplies and services.
- Compliance: Ensure all administrative processes adhere to City of LA policies and state regulations.
Qualifications
- Education: High School Diploma or GED equivalent required; Associate’s degree or coursework in Business Administration preferred.
- Experience: No prior government experience required; 0-2 years of general administrative or customer service experience is a plus.
- Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook); basic computer literacy and typing skills (40+ WPM).
- Communication: Excellent verbal and written communication skills with the ability to interact professionally with diverse populations.
- Integrity: Must pass a background check and drug screen as required for government employment.
