Responsibilities
- Manage complex calendars, schedule meetings, and coordinate domestic and international travel arrangements for senior federal staff.
- Prepare and process correspondence, reports, presentations, and briefing materials with a high degree of accuracy and attention to detail.
- Maintain and organize confidential federal records and filing systems in strict compliance with agency regulations and security protocols.
- Receive and screen incoming calls and visitors, directing inquiries to the appropriate personnel while maintaining a professional front desk demeanor.
- Assist in the preparation of procurement documentation, purchase orders, and expense reports for departmental budget management.
- Perform general office duties including copying, scanning, and inventory management of office supplies and equipment.
- Act as the primary point of contact for inter-departmental communications and internal stakeholders.
Qualifications
- High School Diploma or GED required; Associate’s degree in Business Administration, Public Administration, or related field preferred.
- Minimum of 2-4 years of administrative experience, preferably within a government, military, or corporate setting.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and government-specific software (e.g., JPL, Concur).
- Strong understanding of federal compliance, record-keeping regulations, and security clearance procedures.
- Excellent verbal and written communication skills with a professional demeanor and ability to interact with high-level officials.
- Ability to maintain strict confidentiality and handle sensitive information with discretion.
- Proven ability to multitask and prioritize tasks effectively in a fast-paced, deadline-driven environment.
