Responsibilities
- Manage and maintain accurate federal records and filing systems in strict compliance with established regulations and data privacy standards.
- Prepare, proofread, and distribute high-level correspondence, memos, and official reports on behalf of agency leadership.
- Schedule and coordinate complex meetings, travel arrangements, and conferences for senior staff members.
- Process incoming and outgoing mail, ensuring timely and accurate distribution to the appropriate departments.
- Assist with the preparation of budget reports, expense tracking documents, and grant applications.
- Act as the primary point of contact for internal and external stakeholders, answering inquiries professionally and courteously.
- Maintain inventory of office supplies and equipment, submitting requisitions as needed.
Qualifications
- High School Diploma or GED required; Associate's degree or Bachelor's degree in Business Administration or a related field is preferred.
- Minimum of 2-3 years of experience in an administrative or office support role, preferably within a government or corporate setting.
- Strong working knowledge of federal administrative procedures, compliance standards, and record-keeping laws.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and various case management software systems.
- Exceptional verbal and written communication skills with a high degree of accuracy and discretion.
- Ability to work independently with minimal supervision while managing multiple competing priorities.
