Responsibilities
- Manage high-volume incoming and outgoing correspondence, ensuring accurate and timely responses in accordance with federal guidelines.
- Coordinate executive schedules, meetings, and travel arrangements, often with high-level officials and external partners.
- Prepare, format, and edit complex federal reports, memoranda, and presentations using Microsoft Office Suite.
- Maintain and organize confidential records, ensuring compliance with privacy laws (e.g., Privacy Act of 1974) and record-keeping standards.
- Act as the primary point of contact for the office, routing inquiries to the appropriate staff members and escalating issues as necessary.
- Assist in the procurement process by preparing purchase orders and tracking expenditures.
- Support special projects and initiatives as assigned by senior management.
Qualifications
- Completion of a standard business curriculum (2 years) or a high school diploma/GED with at least 4 years of general office experience.
- Experience in a federal, state, or local government administrative role is highly preferred.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and ability to learn new database systems quickly.
- Demonstrated ability to maintain strict confidentiality and handle sensitive information with discretion.
- Excellent written and verbal communication skills with a focus on grammar and attention to detail.
- Ability to multitask effectively in a dynamic, deadline-driven environment.
- United States Citizenship and eligibility for a government security clearance (if applicable).
