Responsibilities
- Oversee daily administrative operations for the Oakland federal branch, ensuring efficiency and compliance with established office protocols.
- Manage complex calendars, coordinate high-level meetings, and arrange domestic and international travel for senior executives.
- Process and maintain sensitive federal records, ensuring full adherence to the Federal Records Act and FOIA requirements.
- Prepare and edit a variety of correspondence, reports, and briefing materials with exceptional attention to detail and grammar.
- Act as the primary liaison between internal staff and external federal stakeholders, fostering strong professional relationships.
- Conduct research on federal policies and regulations to support decision-making processes.
- Assist in the recruitment and onboarding of new administrative staff within the department.
Qualifications
- Minimum of 3-5 years of experience in administrative support or a related field within the government or public sector.
- Bachelor’s degree in Public Administration, Business Management, or a related discipline is preferred; equivalent experience will be considered.
- Deep understanding of federal compliance standards, office management procedures, and record-keeping best practices.
- Exceptional verbal and written communication skills, with the ability to convey complex information clearly.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with government case management software.
- Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Ability to maintain the highest level of confidentiality and discretion regarding sensitive government matters.
