Responsibilities
- Process and maintain official city records, permits, and documentation with precision
- Provide exceptional constituent support via phone, email, and in-person inquiries
- Manage digital filing systems and databases ensuring compliance with retention policies
- Coordinate departmental communications, scheduling, and administrative workflows
- Assist in public meetings preparation, including agenda drafting and minute-taking
- Support elections and civic engagement initiatives as assigned
- Collaborate with cross-functional teams on special projects
Qualifications
- High school diploma or equivalent; associate's degree preferred
- 1+ years administrative/clerical experience with digital systems proficiency
- Expertise in Microsoft Office Suite (Word, Excel, Outlook)
- Superior organizational skills with meticulous attention to detail
- Clear communication abilities and customer service orientation
- Pittsburgh residency or willingness to relocate within 6 months
- Ability to work 20-30 hours/week with flexible scheduling
- Basic knowledge of Pennsylvania public records laws
