Responsibilities
- Manage Weekend Influx: Efficiently process and categorize incoming mail, packages, and documents received during weekends to ensure timely distribution on Monday mornings.
- Records Maintenance: Update and maintain the department's digital and physical filing systems with strict adherence to government retention policies and regulations.
- Public Access: Assist the public and internal staff with retrieving public records requests in compliance with the Oregon Public Records Law.
- Data Entry: Accurately input data into internal databases and tracking software, ensuring zero errors in sensitive government records.
- Compliance: Ensure all archival processes comply with city, state, and federal privacy and security standards.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree in Records Management, Business Administration, or a related field is preferred.
- Experience: Previous experience in a government, legal, or corporate administrative environment is highly desirable.
- Schedule Availability: Must be available to work weekends (Saturday and Sunday) on a rotating or fixed shift basis.
- Technical Skills: Proficiency in Microsoft Office Suite (Excel, Outlook, Word) and experience with document management systems (e.g., SharePoint, Adobe Pro).
- Soft Skills: Exceptional attention to detail, strong organizational skills, and the ability to work independently with minimal supervision.
