Responsibilities
- Manage incoming communications, including answering phones, screening calls, and responding to emails and inquiries in a timely and professional manner.
- Perform accurate data entry and record-keeping tasks using state-specific database systems to ensure compliance with privacy regulations.
- Assist in the preparation of reports, memos, and meeting materials, ensuring all documentation is clear and error-free.
- Maintain and organize physical and electronic filing systems to ensure easy retrieval of important documents.
- Provide excellent customer service to visitors and stakeholders, directing them to the appropriate departments or staff members.
- Support administrative staff with special projects, event coordination, and other general office duties as assigned.
Qualifications
- High School Diploma or equivalent required; Associate's degree or relevant experience preferred.
- Minimum of 1-2 years of experience in administrative support, clerical, or government office settings.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and ability to learn new software quickly.
- Strong attention to detail with the ability to maintain confidentiality and adhere to strict government protocols.
