Responsibilities
- Record Management: Efficiently organize, archive, and retrieve digital and physical government records and documents.
- Public Assistance: Assist citizens with inquiries regarding permits, licenses, and city services via phone and in person.
- Document Preparation: Draft, proofread, and process official correspondence, reports, and forms with high accuracy.
- Data Entry: Maintain and update departmental databases using standard government software.
- Office Operations: Manage reception duties, answer multi-line phone systems, and distribute mail.
- Compliance Support: Ensure all administrative processes adhere to federal and state regulations and internal policies.
- Meeting Support: Prepare meeting agendas, take minutes, and coordinate logistics for departmental staff meetings.
Qualifications
- Education: High school diploma or GED required; Associate’s degree in Public Administration or related field is preferred.
- Experience: Previous experience in an administrative or clerical role is highly desirable.
- Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and government-specific database systems.
- Communication: Excellent written and verbal communication skills with the ability to interact professionally with the public.
- Integrity: Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
- Attention to Detail: Strong organizational skills and the ability to spot errors in data entry or documentation.
- Availability: Must be available to work a set number of hours per week, including some evenings or weekends if required.
