Responsibilities
- Manage and maintain accurate departmental records and filing systems in strict compliance with government standards and confidentiality protocols.
- Assist in the preparation of official reports, memos, and correspondence for city officials and agencies.
- Screen and route incoming communications, inquiries, and documents to the appropriate departments efficiently.
- Coordinate and schedule meetings, community outreach events, and public hearings.
- Perform high-volume data entry tasks ensuring 100% accuracy and data integrity.
- Support the procurement process for local government contracts and vendor management.
- Provide exceptional customer service to the public and internal stakeholders via phone and email.
Qualifications
- High school diploma or GED required; Associate’s degree or Bachelor’s degree in Public Administration, Business, or related field is a strong plus.
- Minimum of 2 years of experience in administrative support or a government office environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and electronic record-keeping systems (e.g., Salesforce, SAP).
- Strong attention to detail with excellent organizational and time management skills.
- Ability to pass a standard background check and security clearance.
- Excellent verbal and written communication skills.
- Flexibility to work a varied part-time schedule, including occasional evenings or weekends.
