Responsibilities
- Records Management: Oversee the creation, organization, storage, and retrieval of all official city documents, including ordinances, resolutions, and meeting minutes.
- Public Records Compliance: Process open records requests efficiently while ensuring strict adherence to the Texas Open Records Act.
- Meeting Coordination: Prepare agendas for city council and commission meetings, take accurate minutes, and ensure all actions are properly recorded and distributed.
- Administrative Support: Serve as the primary point of contact for the City Manager’s office and other department heads, managing correspondence and filing systems.
- Legal Compliance: Maintain the official seal of the city and ensure all legal documents are executed and filed correctly.
- Vendor Liaison: Coordinate with printing vendors and software providers to maintain records management systems.
Qualifications
- Education: High School Diploma or GED required; Associate’s or Bachelor’s degree in Public Administration, Business, or Political Science preferred.
- Experience: Minimum of 3-5 years of experience in government records management, administrative assistance, or a related clerical field.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with document management software (e.g., SharePoint, ECM systems).
- Attention to Detail: Exceptional ability to maintain accuracy in data entry and document filing under tight deadlines.
- Communication: Strong verbal and written communication skills, with the ability to interact professionally with elected officials and the public.
- Integrity: Demonstrated ability to handle sensitive information with the highest level of confidentiality and ethical standards.
