Responsibilities
- General Office Administration: Perform a variety of clerical duties including data entry, filing, and maintaining accurate electronic and physical records.
- Customer Service: Greet visitors, answer multi-line telephones, and direct inquiries to the appropriate department or personnel in a professional and courteous manner.
- Document Preparation: Draft, proofread, and prepare routine correspondence, memos, reports, and presentations using Microsoft Office Suite.
- Mail and Distribution: Sort and distribute incoming and outgoing mail, packages, and interoffice communications efficiently.
- Inventory Management: Assist in tracking office supplies and equipment, ensuring stock levels are maintained and ordering materials as needed.
- Calendar Management: Support team members by scheduling meetings, arranging conference rooms, and coordinating travel logistics.
- Special Projects: Perform ad-hoc administrative tasks and special projects as assigned by supervisors to support departmental objectives.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree in Business Administration or related field is a plus but not mandatory.
- Experience: No prior experience required. We welcome recent high school graduates and career changers looking to enter the public sector.
- Computer Skills: Basic proficiency in Microsoft Word, Excel, Outlook, and internet navigation.
- Communication: Excellent verbal and written communication skills with the ability to interact professionally with diverse populations.
- Attention to Detail: Strong organizational skills and the ability to manage multiple tasks and deadlines in a fast-paced environment.
- Integrity: Demonstrated reliability, professionalism, and a commitment to government service standards.
- Driver’s License: A valid California driver’s license may be required for some travel or off-site duties.
