The Role
The City Clerk is responsible for the preparation, distribution, and preservation of official documents, ensuring the integrity of municipal governance. You will oversee the minutiae of city operations with precision, from managing council agendas to maintaining the City Charter.
Responsibilities
- Prepare, edit, and distribute official meeting agendas, minutes, and records for the City Council and various boards.
- Manage the City's official records retention schedule and ensure compliance with the Texas Open Records Act (TORA) and Freedom of Information Act (FOIA).
- Oversee the issuance of business licenses, permits, and official certifications.
- Serve as the primary liaison for public inquiries regarding city ordinances and administrative procedures.
- Coordinate special events, including swearing-in ceremonies and public forums, ensuring smooth execution.
- Maintain and update the City Code of Ordinances and the City Charter.
- Supervise and train clerical staff and interns within the office.
Qualifications
- High school diploma or GED required; Associate's degree in Public Administration, Political Science, or related field preferred.
- Minimum of 3-5 years of experience in municipal government, office administration, or records management.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and experience with document management software (e.g., RecordsExpress, OpenGov).
- Strong understanding of parliamentary procedure and Robert's Rules of Order.
- Excellent verbal and written communication skills with the ability to draft clear, professional correspondence.
- Ability to maintain strict confidentiality and handle sensitive information with discretion.
- Must be able to work flexible hours, including occasional evenings for council meetings.
