Responsibilities
- Manage and maintain official city archives, meeting minutes, resolutions, and ordinances with strict adherence to legal standards.
- Prepare, distribute, and archive meeting agendas, packets, and official minutes for the City Council and various boards and commissions.
- Act as the primary point of contact for public records requests in compliance with the California Public Records Act (CPRA) and Freedom of Information Act (FOIA).
- Coordinate and schedule municipal meetings, ensuring all logistics, accommodations, and communication channels are executed flawlessly.
- Assist in the preparation of reports, correspondence, and official documents for the Mayor and City Manager.
- Maintain the City Clerk's filing system, ensuring easy retrieval and preservation of historical records.
- Supervise and train junior clerical staff and student interns regarding records management and office protocols.
Qualifications
- High school diploma or equivalent (Bachelor’s degree in Public Administration, Political Science, or related field preferred).
- Minimum of 3-5 years of experience in clerical, administrative, or records management roles within a government or municipal setting.
- Proven proficiency in Microsoft Office Suite and experience with records management software (e.g., Accela, OnBase, or similar).
- Strong attention to detail with the ability to maintain accuracy under tight deadlines.
- Familiarity with the California Public Records Act (CPRA) and municipal code compliance is highly desirable.
- Excellent written and verbal communication skills with the ability to draft professional correspondence.
- Ability to work independently, manage multiple priorities, and function effectively as part of a team.
