Responsibilities
- Oversee the management and preservation of all city records, including ordinances, resolutions, and meeting minutes.
- Provide exceptional customer service to citizens, businesses, and visitors by answering inquiries regarding city policies and public records.
- Prepare, edit, and distribute meeting agendas and packets for the City Council and various boards and commissions.
- Verify the authenticity of legal documents and process official certifications, affidavits, and oaths.
- Maintain an organized filing system, ensuring documents are accurately archived and easily retrievable.
- Coordinate closely with department heads to ensure compliance with municipal regulations and open records laws.
- Assist in the preparation of reports and correspondence for the Mayor and City Council.
Qualifications
- High School Diploma or GED required; Associate’s degree in Public Administration or a related field is highly preferred.
- Minimum of 3 years of experience in an administrative or clerical role within a government, legal, or municipal setting.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with database management systems.
- Strong written and verbal communication skills with the ability to interact professionally with diverse populations.
- Excellent organizational skills with the ability to prioritize tasks and meet strict deadlines in a fast-paced environment.
- Familiarity with Tennessee state open records laws and public information management is a plus.
