Responsibilities
- Records Management: Manage and maintain official municipal records, including meeting minutes, ordinances, resolutions, and historical archives with the highest level of accuracy and confidentiality.
- Meeting Support: Prepare and distribute comprehensive meeting packets for City Council and Board meetings, ensuring all documentation is complete, formatted correctly, and distributed on time.
- Public & Internal Communication: Act as the primary point of contact for citizens and staff inquiries regarding city services, policies, and procedures; draft and proofread correspondence.
- Data Management: Perform complex data entry tasks, update municipal databases, and ensure data integrity across all departmental records.
- Event Coordination: Coordinate the scheduling of appointments, hearings, public events, and official ceremonies for department leadership.
- Report Preparation: Compile and prepare reports, statistical summaries, and official statements for the City Manager and department heads.
Qualifications
- Education: High school diploma or GED required; Associate’s degree in Public Administration, Business, or a related field is preferred.
- Experience: Proven experience in administrative support, records management, or a similar role within a government, corporate, or non-profit environment.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with database management systems or document management software.
- Communication: Excellent verbal and written communication skills with a focus on clarity, professionalism, and tone.
- Attention to Detail: Strong ability to maintain strict confidentiality and manage high volumes of paperwork with precision.
- Organization: Ability to multitask effectively in a fast-paced environment and adhere to strict deadlines.
