Responsibilities
- Record Management: Oversee the maintenance, preservation, and retrieval of official city records, ensuring compliance with state and federal laws.
- Meeting Administration: Prepare and publish agendas, board packets, and official minutes for City Council and committee meetings; ensure accurate transcription and distribution.
- Public Relations: Act as the primary point of contact for the public regarding municipal procedures, records requests, and official correspondence.
- Legislative Support: Coordinate the official posting of legal notices, ordinances, and resolutions; manage the City Clerk’s Office website and publications.
- Staff Oversight: Supervise, train, and evaluate support staff within the Clerk’s Office to ensure high standards of service and accuracy.
- Elections Support: Assist in the coordination of municipal elections, including voter registration and poll worker management.
Qualifications
- Education: High school diploma or GED required; Associate’s degree in Public Administration, Political Science, or a related field is strongly preferred.
- Experience: Minimum of 5 years of progressively responsible experience in municipal government, administrative support, or records management.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with records management software (e.g., Accela, iComply) is essential.
- Communication: Excellent verbal and written communication skills, with the ability to draft complex legal documents and public notices.
- Attention to Detail: Demonstrated ability to maintain high levels of accuracy in data entry and document preparation under tight deadlines.
- Knowledge: Familiarity with the Brown Act, California Government Code, and open meeting laws is a plus.
