We are seeking a highly organized and detail-oriented City Clerk to join our dedicated Public Administration team. In this pivotal role, you will serve as the guardian of our city's official records and the primary point of contact for public information. As a City Clerk, you will ensure the smooth operation of municipal functions by managing official documents, maintaining legislative records, and facilitating communication between city officials and the public.
Responsibilities
- Record Management: Maintain and organize official city records, ordinances, resolutions, and meeting minutes with the highest level of accuracy and confidentiality.
- Public Relations: Serve as the primary point of contact for citizens and businesses requiring information; provide exceptional customer service and assist with inquiries regarding city services.
- Meeting Administration: Prepare agendas, take official minutes, and coordinate logistics for City Council and committee meetings, ensuring compliance with Robert's Rules of Order.
- Data Entry: Process applications, permits, and official correspondence efficiently using our digital document management systems.
- Compliance: Ensure all municipal operations adhere to state and local laws regarding public records and transparency.
- Special Projects: Support the City Manager's office and various departments with special projects, reports, and administrative tasks as assigned.
Qualifications
- Education: High School Diploma or GED required; Associate’s Degree or Bachelor’s degree in Public Administration, Business, or Political Science is a plus.
- Experience: Minimum of 2-3 years of experience in an administrative or clerical role, preferably within a government or municipal setting.
- Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and experience with document management software (e.g., Adobe Acrobat, SharePoint, etc.).
- Attributes: Exceptional attention to detail, strong organizational skills, and the ability to handle sensitive information with absolute discretion.
- Communication: Excellent verbal and written communication skills, with the ability to interact professionally with diverse populations.
- License: Valid Driver's License may be required for travel between city facilities.
