  • Manage and preserve all official city records, ordinances, resolutions, and meeting minutes in compliance with Arizona state statutes
  • Oversee municipal elections, voter registration, and ballot initiatives ensuring ADA compliance and accessibility
  • Provide legislative support to City Council including agenda preparation, public records requests, and procedural guidance
  • Administer oaths of office, public records requests, and document authentication services
  • Implement digital records management systems while maintaining physical document security protocols
  • Serve as primary liaison between public officials, community stakeholders, and the public
  • Coordinate with county and state election authorities for seamless election administration

Qualifications

  • Bachelor's degree in Public Administration, Political Science, or related field (Master's preferred)
  • Minimum 5 years experience in municipal government with direct records management or clerk duties
  • AzCLE certification or equivalent Arizona legal compliance training
  • Expertise in municipal records retention policies and Arizona Open Meeting Law (ARS ยง38-431)
  • Advanced proficiency in document management systems (e.g., Laserfiche, SharePoint)
  • Proven ability to manage sensitive public records with strict confidentiality standards
  • Exceptional written communication skills demonstrated through public document drafting
  • Valid Arizona driver's license and ability to work flexible hours including evenings/weekends
