Responsibilities
- Maintain and secure official municipal records including ordinances, resolutions, and meeting minutes
- Administer oaths of office for public officials and notarize official documents
- Oversee public records requests and ensure compliance with Freedom of Information Law (FOIL)
- Coordinate with city agencies to synchronize legislative processes and documentation
- Manage voter registration records and support electoral processes
- Facilitate public access to government information through digital and physical systems
- Supervise clerical staff and implement record-keeping best practices
Qualifications
- Bachelor's degree in Public Administration, Political Science, or related field
- Minimum 3 years of experience in municipal records management or public sector administration
- Proficiency in records management software (e.g., Laserfiche, FileHold)
- Deep understanding of New York State municipal codes and FOIL regulations
- Exceptional organizational skills with attention to detail and accuracy
- Strong written and verbal communication abilities
- Valid New York State Notary Public commission preferred
- Experience supervising administrative staff
