Responsibilities
- Oversee the maintenance, archiving, and retrieval of all official city records, including minutes, ordinances, resolutions, and contracts.
- Prepare, distribute, and post public notices, meeting agendas, and legal advertisements in compliance with state regulations.
- Manage the logistics for City Council meetings, including setting up venues, distributing materials, and creating accurate meeting minutes.
- Process incoming correspondence, maintain the office calendar, and coordinate inter-departmental communications.
- Assist the City Treasurer in the collection of fees, fines, and permits to ensure accurate financial reporting.
- Ensure strict adherence to privacy laws and public records requests protocols.
- Provide exceptional customer service to citizens, vendors, and visitors at the front desk.
Qualifications
- High School Diploma or GED required; Associate’s degree in Business Administration, Political Science, or a related field is preferred.
- Minimum of 3-5 years of experience in office administration, clerical work, or a similar government role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with database management software.
- Strong attention to detail with the ability to maintain confidentiality of sensitive information.
- Excellent verbal and written communication skills.
- Ability to work independently as well as collaboratively within a team environment.
