Responsibilities
- Manage Municipal Records: Oversee the creation, preservation, and retrieval of official city documents, including ordinances, resolutions, and meeting minutes.
- Meeting Administration: Prepare and distribute agendas for City Council and Board meetings, ensuring all procedural requirements are met.
- Public Information: Handle Freedom of Information Act (FOIA) requests professionally and efficiently, serving as a liaison between the public and the city administration.
- Staff Supervision: Lead and mentor a team of administrative assistants and clerical staff to maintain high productivity standards.
- Election Coordination: Assist in the administration of municipal elections, ensuring compliance with state and local voting regulations.
- Contract Management: Review and file contracts and agreements to ensure legal compliance and proper archiving.
Qualifications
- Education: High school diploma or GED required; Associate’s degree in Public Administration, Political Science, or a related field is preferred.
- Experience: Minimum of 3-5 years of experience in municipal government, public administration, or a related administrative role.
- Technical Skills: Proficiency in MS Office Suite (Word, Excel, Outlook) and experience with records management software (e.g., Accela, Iluminar, or similar).
- Attention to Detail: Exceptional ability to review complex documents for accuracy and compliance with legal standards.
- Communication: Strong verbal and written communication skills with the ability to interact effectively with diverse stakeholders.
- Legal Knowledge: Working knowledge of Missouri state laws regarding public records and municipal operations.
