Responsibilities
- Record Management: Oversee the accurate filing, indexing, and preservation of official city documents, meeting minutes, ordinances, and resolutions.
- Public Assistance: Serve as the primary point of contact for citizens and businesses, answering inquiries regarding permits, licenses, and city procedures.
- Administrative Support: Process incoming applications, correspondence, and official correspondence with a high degree of accuracy and attention to detail.
- Meeting Coordination: Schedule and prepare materials for board and commission meetings, ensuring all agendas and packets are distributed promptly.
- Data Entry: Maintain digital and physical databases, updating records to reflect current city operations and demographics.
- Compliance: Ensure all clerical functions adhere to state and local regulations regarding public records and transparency.
Qualifications
- Education: High school diploma or GED required; Associate’s degree or certification in Paralegal Studies or Public Administration is preferred.
- Experience: Minimum of 2-3 years of professional experience in administrative support, records management, or a related clerical role.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning specialized government database software.
- Communication: Excellent verbal and written communication skills, with the ability to interact professionally with diverse populations.
- Organization: Exceptional attention to detail and strong organizational skills with the ability to prioritize tasks in a fast-paced environment.
- Residency: Preference given to candidates currently residing in Baltimore City.
