Responsibilities
- Records Management: Oversee the creation, filing, retention, and archiving of all city records, ensuring compliance with state laws and municipal ordinances.
- Meeting Administration: Coordinate and schedule meetings for the Mayor and City Council, preparing agendas, taking minutes, and distributing official transcripts.
- Public Information: Serve as the primary liaison for the public, responding to information requests regarding property records, ordinances, and meeting schedules.
- Compliance & Legal Support: Assist the Legal Department in preparing legal documents and ensuring all municipal actions are properly documented and recorded.
- Vendor Coordination: Manage contracts and correspondence with external vendors and city departments to support administrative operations.
- System Maintenance: Maintain and update the municipal records management system to ensure data accuracy and security.
Qualifications
- Education: High school diploma or GED required; Associate's degree in Public Administration, Business Management, or a related field is preferred.
- Experience: Minimum of 3-5 years of experience in administrative support, records management, or a clerical role within a government or large organization.
- Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and experience with Records Management Software (RMS) or databases.
- Attributes: Exceptional organizational skills with a keen eye for detail; ability to maintain confidentiality and handle sensitive information with discretion.
- Communication: Excellent verbal and written communication skills, with the ability to interact professionally with citizens, officials, and staff.
- Knowledge: Familiarity with local government procedures and the legislative process in Louisiana is a plus.
