Responsibilities
- Records Management: Maintain, organize, and securely store all official city documents, ordinances, resolutions, and meeting minutes in compliance with state and federal laws.
- Meeting Support: Prepare agendas, publish official publications, and provide minute-taking support for City Council and Board meetings.
- Customer Service: Serve as the primary point of contact for public inquiries, providing accurate information regarding city codes, permits, and meeting schedules.
- Election Administration: Assist in the coordination of local elections, including voter registration and polling place management.
- Public Information: Manage the Freedom of Information Act (FOIA) requests and ensure timely responses to the public.
- Contract Oversight: Administer official city contracts and bonds as delegated by the City Manager.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree in Paralegal Studies, Public Administration, or Business is preferred.
- Experience: Minimum of 3 years of experience in records management, administrative support, or a related field within the public sector.
- Skills: Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and experience with Records Management Software (e.g., Accela, CentralSquare) is highly desired.
- Communication: Excellent written and verbal communication skills with the ability to draft clear and concise official correspondence.
- Interpersonal: Strong customer service orientation with the ability to interact professionally with diverse groups and community members.
- Attention to Detail: Exceptional organizational skills with a strong focus on accuracy and confidentiality.
