Responsibilities
- Manage official city records, documents, and archival materials with precision and confidentiality
- Prepare agendas, minutes, and official documentation for City Council and committee meetings
- Provide direct public assistance via in-person, phone, and digital channels regarding municipal processes
- Coordinate public records requests ensuring compliance with Oregon public records laws
- Support election administration processes including voter registration and ballot coordination
- Maintain digital and physical filing systems with strict attention to regulatory requirements
- Collaborate with multiple city departments to ensure consistent administrative workflows
Qualifications
- High school diploma or equivalent; bachelor's degree in Public Administration or related field preferred
- Minimum 3 years of administrative/clerical experience in government or regulated environment
- Proficiency in Microsoft Office Suite and records management software
- Deep knowledge of Oregon public records laws and municipal procedures
- Exceptional written and verbal communication skills with diverse populations
- Ability to manage confidential information with discretion and integrity
