Responsibilities
- Front Desk Operations: Greet visitors, answer incoming calls, and direct inquiries to the appropriate department or staff member professionally and efficiently.
- Record Keeping: Maintain accurate and organized filing systems for both physical and digital documents, ensuring confidentiality and compliance with state regulations.
- Data Entry: Process incoming paperwork, update municipal databases, and ensure data accuracy with a high level of attention to detail.
- Public Assistance: Assist residents with forms, applications, and information requests, providing exceptional customer service to the diverse Jersey City community.
- Mail & Distribution: Sort and distribute daily mail, memos, and packages to various departments within city hall.
- Meeting Support: Prepare meeting rooms, set up audio-visual equipment, and distribute agendas for City Council and committee meetings.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree or experience in public administration is preferred.
- Experience: Previous clerical or customer service experience in a government or corporate environment is highly desirable.
- Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and experience with government database software is a plus.
- Communication: Excellent verbal and written communication skills with the ability to interact with people from diverse backgrounds.
- Integrity: Strong ethical standards and the ability to maintain strict confidentiality regarding sensitive city records.
- Reliability: Must be punctual, dependable, and able to handle multiple tasks in a fast-paced environment.
