Responsibilities
- Records Management: Organize, file, and retrieve municipal records, permits, and documents in accordance with established policies and retention schedules.
- Customer Assistance: Greet visitors, answer phones, and provide accurate information regarding city services, procedures, and departmental hours.
- Data Entry: Perform high-volume data entry tasks with precision, updating databases, processing applications, and maintaining digital filing systems.
- Communication: Draft correspondence, prepare meeting minutes, and assist in the preparation of reports for city officials.
- Payment Processing: Receive and process payments for various city services, including utility bills and permit fees, ensuring accurate accounting.
- Support Operations: Assist in the coordination of city meetings, manage schedules, and provide general clerical support to department staff.
Qualifications
- Education: High school diploma or GED equivalent required; Associate’s degree or certification in business administration preferred.
- Experience: Minimum of 1-2 years of experience in an administrative or clerical role, preferably within a government or public sector environment.
- Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn new software systems quickly.
- Communication: Excellent verbal and written communication skills with the ability to interact professionally with a diverse public.
- Attention to Detail: Strong organizational skills and the ability to maintain confidentiality of sensitive information.
- Availability: Ability to work a full-time schedule, including occasional evenings or weekends as needed for city events.
