Responsibilities
- Receive and direct incoming calls and visitors, providing accurate information regarding city services and procedures.
- Process, verify, and file a wide variety of documents, including permits, applications, and correspondence, ensuring data accuracy and confidentiality.
- Assist the public with filling out forms and explain complex regulations in a clear and approachable manner.
- Perform data entry tasks, maintain electronic and hard copy records, and generate reports as requested by management.
- Coordinate appointments, schedule meetings, and manage calendars for department supervisors.
- Assist with the preparation of agendas and minutes for city board meetings.
- Perform other clerical duties as assigned to support departmental operations.
Qualifications
- High school diploma or GED equivalent; additional clerical or administrative training is a plus.
- Minimum of 1-2 years of experience in a general office environment or customer service role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic computer skills.
- Strong verbal and written communication skills with the ability to interact professionally with diverse populations.
- Excellent organizational skills and the ability to prioritize tasks in a fast-paced setting.
- Ability to maintain strict confidentiality regarding sensitive information.
- Valid California driverβs license may be required depending on the specific department.
